Terms & Conditions – Meet Me at the Hotel

These Terms & Conditions govern the use of services provided by Meet Me at the Hotel, including hotel bookings, event participation, and any related transactions.

By making a reservation or attending an event, you agree to the following terms.

1. General Terms

• These Terms & Conditions apply to all guests, visitors, and clients of Meet Me at the Hotel.

• By booking a room or participating in an event, you confirm that you have read, understood, and accepted these Terms & Conditions.

• Meet Me at the Hotel reserves the right to amend these terms at any time. The latest version will always be available on our website.
   

2. Room Reservations and Cancellations

Non-Refundable Rooms

• If a non-refundable room is canceled, the full room charges will apply, and no refund will be issued.

Refundable Rooms

• Refundable rooms can be canceled without charge up to six (6) weeks before arrival.

• Cancellations made within six (6) weeks before arrival will incur the full room charge.

Group Reservations (Less than 10 Rooms)

• A minimum stay of three (3) nights is required.

• 100% prepayment is required via Paybylink.

• Free cancellation is allowed up to 14 days before arrival.

Group Reservations (10 or More Rooms)

• A minimum stay of three (3) nights is required.

• Cancellation fees apply as follows:

  • More than 1 month before arrival: 35% of the total reservation value.

  • More than 14 days before arrival: 60% of the total reservation value.

  • More than 7 days before arrival: 85% of the total reservation value.

  • 7 days or less before arrival: 100% of the total reservation value.
     

3. Force Majeure (Unforeseen Circumstances)

In the event of war, terrorism, pandemics, natural disasters, government-imposed travel bans, or other force majeure events that make it impossible to proceed with the reservation or event as planned, the following terms apply:

• If official travel restrictions or extraordinary circumstances occur, Meet Me at the Hotel will allow the paid deposit to be used as credit for a new reservation within 12 months of the cancellation date.

• No refunds will be provided for cancellations due to force majeure.
   

4. Photography and Media Consent

By attending an event or staying at Meet Me at the Hotel, you acknowledge that photographs and videos may be taken. These images may be used for marketing, promotional materials, and social media purposes. By making a booking, you grant Meet Me at the Hotel the right to use your likeness in such materials without compensation. If you do not wish to be photographed or recorded, please notify a member of staff upon arrival.
 

5. Liability

• Meet Me at the Hotel is not responsible for loss, theft, or damage to personal belongings during your stay or at our events.

• Guests are responsible for any damage caused to hotel property and may be charged accordingly.

• Meet Me at the Hotel is not liable for disruptions due to external factors such as weather conditions, transportation delays, or acts of third parties.
   

6. Privacy and Data Processing

Meet Me at the Hotel respects your privacy and processes personal data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR).

• Personal data collected includes name, contact details, and booking information.

• We use this data to process bookings, improve services, and send marketing communications (if consent is given).

• Data may be shared with trusted third parties, such as payment processors and analytics services.

7. Intellectual Property

• These Terms & Conditions are governed by the laws of The Netherlands.

• Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts in Amsterdam.
